Meetings is your company’s calendar inside the Cortex. Each meeting has its own page — the Minutes (Ata) — where you attach the transcript/documents and iTeam produces an executive summary, decisions and action items. Actions become Cortex Actions (after your approval), tied to area objectives, and everything becomes searchable by the area’s agents. It’s your organizational memory: six months later, the agent still knows what was decided and why.

Meetings lives under Cortex → Meetings in the sidebar. You only see meetings for the areas you belong to (or all of them, if you’re an admin/owner).

How it works, in one sentence

A meeting happens → you upload the transcript/documents → the Minutes summarize, extract decisions and actions → you approve the actions (they land in Cortex Actions on the meeting’s day) → the area’s agents answer with that context, and watchers get the Minutes by email.

The calendar

Just like a calendar you already know, with Day, Week, Month, Quarter and Year views and an hourly grid in the day/week views.

Pick a view and navigate

Switch between Day / Week / Month / Quarter / Year in the top-right. Use the arrows to move and Today to jump back. Each meeting shows its area’s color.

Filter by area

The All areas selector narrows the calendar to one area — and opens the Area context panel (see below).

Search across meetings

The search bar is semantic: ask “what did we decide about pricing?” and it finds the passage in the right transcript/minutes, most recent first (older ones are flagged as “may be outdated”).

Create a meeting

Click New meeting. Set the title, date, time and duration, pick one or more areas (agents in those areas get automatic access) and, optionally, the Meet/Zoom link.
Toggle Repeat and choose, with no technical syntax: Daily / Weekly / Monthly, “every N”, the weekdays (weekly) or the day of month (monthly). A summary line confirms what you built (e.g. “Every week (Mon, Wed) at 10:00”). iTeam materializes upcoming occurrences on the calendar automatically.
Choose to generate the Minutes automatically X hours after it ends (1, 2, 4, 12, 24h) or keep it manual only. Once the Minutes are ready — and only then — the summary is emailed to watchers.

Sync with Google Calendar

The Google Calendar button imports the next 14 days of your Google calendar (title, time, attendees as watchers, Meet link). Re-importing updates existing events without duplicating. If Google isn’t connected yet, iTeam tells you where to connect. The rest of Meetings works fine without it — sync is optional.

Click a meeting to open the Minutes. This is where everything happens.

Attach transcripts and documents

Drag in transcripts, slide decks, PDFs, DOCX (or paste the transcript directly). iTeam auto-categorizes (transcript / slides / document) — and you can fix the category in one click. Every document is indexed (searchable by you and by the area’s agents).

Generate the summary (or let it auto-run)

Click Generate summary. The AI produces the executive summary, the decisions list and the detected actions. With automatic Minutes on, this happens on its own after the meeting.

Edit the Minutes if needed

The summary and decisions are editable — click the pencil, adjust the text (one decision per line) and save. Your correction also updates what the agents see.

Meeting actions → Cortex Actions (with human approval)

This is the core. The detected actions do not become tasks automatically — they go through you:

Review each action

Adjust the text, tie it to an area objective (optional) and choose the date (defaults to the meeting day).

Select what to approve

Check the actions you want to move forward — there’s a shortcut to select/deselect all. Dismiss the ones that don’t fit (they leave the list; you can restore them later).

Approve → Cortex

Click Approve → Cortex. Approved actions appear in the Actions calendar (Cortex → Actions) on the meeting’s day, with a clickable “from meeting” badge back to the Minutes. Editing the action here also updates the Cortex version; dismissing it removes it there.
Unlike ordinary transcription tools, the action doesn’t die as plain text: it becomes a trackable Cortex Action tied to an objective, with an owner and a due date — and enters the follow-up loop (including impact verdicts).

Watchers and email

In Configure, set the watchers (by company member or free email). They receive the executive summary by email — always after the Minutes are ready, with a preview, a link and the document list.

Intelligence only iTeam has

For recurring meetings, the Minutes open with the previous meeting’s scoreboard: how many actions were done / open / overdue and the impact verdict of those that matured (📈 positive / 📉 negative). Your follow-up agenda, ready — with data, not just text.
Ask an area agent “why did we cut the legacy project?” and it answers citing the source meeting, date and passage. The Minutes themselves are indexed, so decisions stay searchable forever.
Filtering an area in the calendar opens a panel with recent decisions (with meeting and date), open/overdue actions, the objectives and an Alignment radar: objectives with no movement for 30+ days and actions with no objective attached. The area’s agents use this same context to answer broad analyses.
Overdue actions trigger one email reminder to the owner (no repeated nagging). And before a recurring meeting, watchers receive an agenda: last meeting’s decisions + open actions.
If a new decision contradicts another area’s decision (e.g. one area freezes hiring while another decides to hire), the Minutes show an alert and the organizer is notified. You decide whether it’s a real conflict.

The area’s agents

Every agent that belongs to an area sees that area’s meetings and uses them on its own when the question calls for it — history, decisions, the “why”, pending items or an overview. This happens on demand (it doesn’t weigh on every reply) and is cached so it never slows things down. Remove the agent from the area → it loses access immediately.
On the Minutes page, the “Agents with knowledge of this meeting” strip shows exactly which agents have access — proof the area is well connected.

Privacy and access

  • Each meeting belongs to one or more areas. Only members of those areas, the organizer/watchers and admins/owners can open the Minutes — everyone else gets a restricted access screen.
  • Attached documents enter the company Knowledge with the area’s visibility; removing a document revokes the agents’ access instantly.

Audio recording (optional)

If enabled by your administrator, you can upload the meeting’s audio recording and iTeam transcribes it (up to 25 MB per file), attaching the text as a transcript. It’s off by default — the recommended path is pasting the transcript that Meet/Granola/Fireflies already produce.
